This Privacy Policy has been prepared in accordance with the General Data Protection Regulation (GDPR) which came into force on 25 May 2018.

The Information Commissioner’s Office states that a privacy policy needs to include the following information:

  • Who you are;
  • What you are going to do with personal data; and
  • Who it will be shared with.

HOW WE USE PERSONAL DATA AND WHO IT IS SHARED WITH

CONTACT DATABASE

This is an internal database used for business-related contacts and is stored securely using Google Cloud and Microsoft SharePoint services. The database holds only contact information – such as name, job title, company name, address, email, and phone numbers – of clients, associates, and other relevant contacts. It does not hold any sensitive personal information and we do not operate a CRM system.

This information is never shared with any third party, except where explicitly noted below in the context of consultation work.

NEW BUSINESS MARKETING

We issue occasional updates or marketing communications via a secure mailing service. These emails are sent to individuals who are or have been clients or associates of Hedry, those holding political or officer roles within UK governance (to official email addresses), or individuals who have subscribed to receive updates.

Each communication includes an option to unsubscribe. Where personal information is not already publicly available (e.g., elected officials), a double opt-in process is used, requiring individuals to confirm their subscription via email.

We gather anonymised statistics around email engagement (such as open and click-through rates) to help monitor and improve our communications. Marketing data is never shared with any third party.

CONSULTATION SPECIFIC INFORMATION

Hedry organises surveys, public exhibitions, workshops, and other engagement activities as part of community consultation work for our clients, including for proposed developments. We collect data during these consultations to help inform and evidence planning applications and engagement reports.

This information is used solely for the relevant consultation. It is not transferred to Hedry’s core contact or marketing databases. It may be shared with the client commissioning the consultation, the consultant team, and the relevant local authority. It is never shared more widely.

Where name and contact details are collected, we include a consent box. Only those who opt in will receive future updates—and only on the specific consultation topic.

JOB APPLICATIONS TO HEDRY

We process personal data from individuals applying for vacancies or submitting speculative applications. This is done for recruitment and business administration purposes and may include identifiers (e.g., name, date of birth), characteristics (e.g., gender), qualifications, and employment history.

We do not share identifiable personal information with third parties without the individual’s consent, unless required by law. Application data is retained for a minimum of six months, or longer where legally required.
